Why Documentation Is Critical
Chemical exports involve hazardous materials regulations, import country compliance and international safety standards. Missing or incorrect documents can result in shipment delays, customs holds or outright rejection at the port of destination.
Essential Documents for Every Chemical Shipment
1. Certificate of Analysis (COA)
The COA is the quality passport for your chemical. It must include: product name and CAS number, physical and chemical specifications, batch/lot number, manufacturing date and expiry, supplier name and contact, and laboratory analyst signature.
2. Material Safety Data Sheet (MSDS / SDS)
Required for all chemicals — hazardous or otherwise. Must comply with GHS (Globally Harmonised System) format with 16 sections including: hazard identification, composition, first aid, fire-fighting measures, handling and storage.
3. Packing List & Commercial Invoice
These must match exactly: product description, HS code (6-digit internationally), quantity in kg/MT, number of packages, gross and net weight, unit price and total value (FOB/CIF as agreed).
4. SGS/BV Pre-Shipment Inspection
Many importing countries (especially in Africa and the Middle East) require third-party inspection. Trident Chemicals arranges SGS/BV inspection as standard for all bulk shipments, typically completed within 2-3 business days.
Country-Specific Requirements
GCC Countries: SASO certificate for Saudi Arabia; ESMA for UAE. Europe: REACH registration for substances >1 MT/year. India Exports: SDF form, ARE-1 form for duty exemption. Always verify with the importing country's customs authority.
